How to follow up with interested leads and assign them to a closer

After launching a campaign in Prop AI, it's critical to follow up with interested leads and assign them to the right closer when they’re ready to sell.

Review interested leads from your campaign

  1. In the Web App, navigate to Campaigns and open the most recent campaign (e.g., January 25th).
  2. Click Callback Request to view all leads who responded with interest.
  3. Copy the lead’s name or phone number to prepare for further lookup.

Look up the lead in CRM

  1. Open the CRM tab.
  2. Click the Search Contacts icon (magnifying glass) and paste the lead’s details.
  3. Click on the correct contact to open their profile.
  4. Scroll to the transcript section to review the conversation and confirm interest.

Contact and qualify the lead

  • If the lead appears interested, reach out via text or phone for further qualification.
  • Gauge their motivation and confirm if they are ready to sell.

Assign to a closer or tag for nurture

If ready to sell:

  1. In the contact record, click Owner Assigned To and select one of the following closers:
  • Nick Villegas
  • Chris Geddes
  • Ellie Thurman
  • Graham
  1. Click the purple Assign button next to Follow-up, then click Underwrite.
  2. Wait 5–10 minutes; AI underwrite details will appear in the Notes for pricing guidance.

If not ready to sell:

  • Do not assign the lead to a closer yet.
  • Instead, use the Assign button to tag the lead as Nurture.
  • These leads can be revisited in future follow-ups.

Track ongoing deal stages

  1. Go to Smart List.
  2. Click Scott Leads 2.
  3. On the right side, hover over columns like AI Pre-Qualify and Closer Evaluation.
  4. When deals progress, lead statuses will update through stages such as Offer, Offer Accepted, and Close.
