Manually Add an Opportunity to the Prop AI CRM

Sometimes you need to enter a lead or property manually into the Prop AI CRM—especially if it came from a source outside the platform. While not ideal, this is possible through a few simple steps.

How to manually add a new opportunity

  1. Go to the Prop AI CRM dashboard.
  2. From the left-hand side menu, select Opportunities.
  3. Click the Add Opportunity button.
  4. In the form that appears, fill out the required details (marked with a star):
  • Opportunity Name: usually the property address
  • Contact Name: seller or agent's name
  • Phone Number or Email: at least one is strongly recommended for follow-up
  1. In the same form:
  • Select the correct Pipeline. Use Man vs. Machine, unless you're part of the Prop AI internal team.
  • Enter your name under Owner Assigned to track who owns the lead.

Best practices for internal notes

  • Do not use the message/text field at the bottom of the opportunity screen to log notes—this sends a message to the contact.
  • Instead:
  1. Click the pencil icon on the opportunity item.
  2. Use the Add Note feature to store internal details such as property comps, contact history, or next steps.

Important reminder

Manual entry bypasses the data enrichment that comes from integrated sources like DealSauce or PropStream. If you're consistently handling offline leads, consider requesting a training session to streamline your upload process and retain the benefits of AI-driven follow-up and underwriting.
